Privacy Policy

WeGuide holds information about you so that your town, your journey, and your Portfolio are yours and follow you from Grade 10 to Grade 12. This policy says what that information is, who can see it, and what you can do about it.

The promises, in plain words: there are no public profiles and no leaderboards. We do not sell your information and we do not show advertising. Nothing WeGuide shows you about yourself is a verdict. You can see everything we keep about you, change it, and ask for it to be deleted.

If you joined through your school, your school is in charge of your information and we handle it on the school's instructions. If you joined on your own, we are in charge of it.

1. Who is responsible for your information

The WeGuide platform is operated by [WeGuide legal entity name], [registered address] ("WeGuide", "we", "us").

When your school enrols you, the school decides why and how WeGuide is used for its students and is the controller of your information; WeGuide processes it on the school's behalf under a written agreement, and questions about your information can go to either of us. When you sign up without a school, WeGuide is the controller.

2. What we collect

We collect what WeGuide needs to work, and we ask you for most of it directly.

  • Account: your display name, email address, a password (stored only as a hash we cannot read), your language, and the role of your account (student, counselor, school administrator, mentor).
  • Your home in the town: your full name, date of birth, grade, school, and, if you choose to give it, your phone number. Your avatar choices.
  • Parent or guardian details: for one or two parents or guardians, their name, their field of work, and at least one way to reach them (phone or email), which you enter yourself.
  • Your journey: your answers, predictions, choices, rankings, and reflections in every activity; the artifacts you build; your passport stamps and progress; the evidence you add to your Portfolio, including files, photos, and audio you upload and notes about who you interviewed.
  • Your messages: what you write to the Help Desk, to mentors through the Mentorship Hub, and to counselors when you share work with them, together with their replies.
  • Your consent choices: the "green light" you give in your home for WeGuide to use what you share to shape your journey, and any later change to it.
  • Technical information: your IP address, browser and device type, the pages you open and when, and error reports, kept in server logs to keep WeGuide secure and working. Anonymous page-speed measurements are collected by our hosting provider's performance tool and are not tied to your account.

Your school gives us some of this before you arrive: your email address on the school roster, your grade, and which counselors work with your grade.

3. What we do not collect

  • No precise location. WeGuide does not ask your device where you are.
  • No advertising identifiers, no tracking across other websites, no social-media logins.
  • No camera or microphone access unless you choose to upload a photo or a recording to your Portfolio, and then only that file.
  • No biometric information.
  • No payment details from students; schools are invoiced separately.

4. Why we use it, and on what basis

  • To run WeGuide for you: your town, your progress across the grade lands, your Portfolio, your messages. This is necessary to provide the service you, your school, or your guardian asked for.
  • To let your school do its job: enrol you, assign counselors, open Destinations on its calendar, and support you. Your school does this as part of its educational task, under its agreement with us.
  • To keep WeGuide safe and working: preventing misuse, investigating problems, fixing errors, keeping records of who accessed what. This is in our legitimate interest and, for some records, a legal obligation.
  • For optional things you turn on, such as giving a phone number or writing to a mentor, we rely on your choice, which you can change at any time.

We do not use your information to advertise to you, to profile you for commercial purposes, or to make automated decisions about you that have legal or similarly significant effects. The patterns WeGuide shows you about yourself are shown to you, for you to judge, and are never used to rank you against others or to decide anything on your behalf.

5. Who can see your information

This is the part that matters most, so it is spelled out.

  • You. Everything WeGuide keeps about you is visible to you in your home, your Portfolio, and your messages, and you can change your details at any time.
  • Other students: nothing. There are no public profiles, no friend lists, and no leaderboards. Where WeGuide shows a class or school total ("Grade 10 has interviewed 84 professionals"), it is a count, never a list of names.
  • Your school's counselors see the work you complete in context so they can support you. Opening a student's evidence beyond that is recorded with the counselor's name, the time, and a written reason, and your school can review that record.
  • Your school's administrators see enrolment and progress information for their students, such as which Destinations are complete. [Confirm the exact scope the school console exposes.]
  • Mentors see only what you send them, together with your display name, grade, and the field you asked about. They never see your Portfolio, your reflections, or your contact details unless you put them in a message, which we ask you not to do.
  • Parents and guardians do not have accounts in WeGuide today. We may use the guardian contact details you gave us to reach them for safety reasons or for communications your school asks us to send. [Confirm before launch.]
  • WeGuide's own team: a small number of people can access information to provide support, fix problems, or investigate misuse. That access is limited to what the task needs and is logged.

We share information with the service providers in section 6, with a school under its agreement, and with authorities where the law requires it or where someone's safety is at risk. We never sell it, rent it, or share it for advertising.

6. The services that help us run WeGuide

A few companies process your information for us, only on our instructions and under contracts that require them to protect it.

  • Supabase: our database, sign-in service, and file storage, hosted in the European Union [confirm region]. This is where your account, your journey, and your uploads live.
  • Vercel: hosts the WeGuide application in Frankfurt, Germany, and provides anonymous page-performance measurements.
  • Resend: sends the emails WeGuide needs to send, such as invitations, password resets, and reminders your school asks for.
  • YouTube: some Help Desk guides embed videos. When you play one, YouTube (Google) receives your request and may set its own cookies; its privacy policy applies to that. Guides work without playing the video.
  • [Video hosting for the professional-perspective videos, if any: name, purpose, location.]

7. Where your information is kept

Your information is stored in the European Union. Members of the WeGuide team, and staff at your school, may access it from [Lebanon / the countries where WeGuide operates] to do their work. Where information leaves the region it is stored in, we rely on [standard contractual clauses / the applicable safeguard] to protect it.

8. How long we keep it

  • Your account, journey, and Portfolio: for as long as your account is open. WeGuide is a three-year journey, so your evidence is kept from Grade 10 through Grade 12 unless you or your school ask us to delete it sooner.
  • After your account closes: we delete or anonymise your information within [90 days], except where we need to keep some of it to meet a legal obligation or to resolve a dispute.
  • Access records and security logs: [12 months], so that misuse can be investigated.
  • Backups: deleted information may remain in encrypted backups for up to [30 days] before it is overwritten.

If your school ends its agreement with us, the school decides whether student information is returned to it, handed over to you, or deleted, and we act on that instruction.

9. How we protect it

Information travels between your device and WeGuide encrypted. In the database, access rules are enforced row by row: an account can read only the rows that belong to it, and a counselor or administrator only the rows their role and their school allow. Staff and school access to sensitive information is logged. We test and review these controls as WeGuide changes.

No system is perfectly secure. If we learn of a breach that affects your information, we will tell you, your school, and any authority we are required to tell, without undue delay. If you find a security problem, please tell us at [security email address] before telling anyone else.

10. Your rights and choices

Wherever you live, you can:

  • See everything WeGuide holds about you. Most of it is already on screen in your home and your Portfolio; ask us for a full copy in a portable format at any time.
  • Correct anything that is wrong, directly in your home or by asking us.
  • Delete your account and your information, subject to the retention rules in section 8.
  • Withdraw a choice you made, such as the phone number you gave or the green light in your home, at any time. Withdrawing does not affect what happened before.
  • Object to, or ask us to restrict, a use of your information, and ask us to explain any decision that affects you.
  • Complain to a supervisory authority. In [country] that is [authority name and link]. We would rather hear from you first, but you do not have to.

To make a request, use the Help Desk in the town or write to [privacy email address]. If you joined through your school, we will involve the school, because it is responsible for your information; the school can also make requests on your behalf. We answer within [30 days]. If you are under 18, a parent or guardian can make any of these requests for you, and we may ask them to confirm who they are.

11. Young people

WeGuide is made for students of 14 to 18 and we design it with that in mind. Nobody under 13 may hold an account, and if we learn that someone under 13 has one we will close it and delete the information. For students under 18, or under the local age of digital consent, we rely on the school's authority or on a parent or guardian's agreement, and we ask you to talk to them about WeGuide.

We do not show advertising, we do not sell information, we do not run public rankings, and we do not use design tricks to keep you on the platform longer than your work needs. The consent step in your home ("the green light") exists so that you understand and agree to how what you share shapes your journey; you can withdraw it, and WeGuide keeps working with less personalisation.

Parents and guardians who want to know what WeGuide holds about their child, or want it changed or deleted, can contact us at [privacy email address] or ask the school.

12. Cookies and similar storage

WeGuide uses only the cookies it needs to keep you signed in: small session cookies set by our sign-in service, which expire when your session does. Your browser also keeps a few settings on your own device, such as whether the town's sound is on and unsent drafts, so you do not lose them between pages. None of this is used to track you, and none of it is shared with advertisers.

The only third-party cookies you might meet are YouTube's, and only if you play an embedded video in a Help Desk guide (section 6).

13. Changes to this policy

When WeGuide starts collecting something new, or lets someone new see something, this policy changes with it, and we tell you inside WeGuide and tell your school before the change takes effect. The date at the top shows the current version.
